FOTOFINDER has an upload concept, allowing the supplier to transfer the images he is selling via the portal or in a shop into the Fotofinder database only once.

1. Incorporating the picture files

Depending on your technical connection you have to upload HiRes or LowRes files:

HiRes files size between DIN A4 and DIN A3 by 300dpi
LowRes flies approximately 1.000 pixel on the largest angle

Basic requirement for a connection between external databases and FOTOFINDER is a minimum bandwith (connection speed) of 2000 Kbit/s Upstream towards FOTOFINDER.

During the upload process, the FOTOFINDER system creates several versions of the submitted picture in various resolutions.

2. The Picture: Technical Data

Colour mode always RGB, no CMYK
Filesize HiRes max. 10 MB
Format Only JPG's are imported into the database, file formats like TIFF, RAW, etc. are not processed.
Compression Please compress files just as much as necessary to be sure not to exceed the maximum file size of 10 MB.

3. File names

For the administration of the database, the identification of pictures, and to avoid duplicates etc. the naming of pictures should be done systematically.



No special characters, no umlauts e.g. !"§$%&/()=?´`\
No spaces As decollator you can use a hyphen (-) or an underscore.
Max. allowed characters max. allowed characters for filenames: 26 ( incl. '.jpg')

4. The FTP Upload

The pictures are transferred to the import-server (http://import.fotofinder.net) by FTP. Therefore each contributing supplier receives a user name and password.

The pictures need to be transferred as single files (not within folders) into the "import" directory.
The import process starts automatically as soon as the first picture has been uploaded. First of all the quality check takes place, afterwards the additional versions of the pictures are generated and the IPTC header is read and stored. A successfully imported file will vanish from the FTP import folder. In case an error occurs the file concerned will be shifted into a new created folder named 'error'.


The following errors can occur:

Duplicate Exactly the same image is already imported.
IPTC_error The IPTC header is corrupt. The file couldn't be read.
too_big The file size does not meet the FOTOFINDER standards.
too_small The file size does not meet the FOTOFINDER standards.

Imported files are available within minutes through the FOTOFINDER portal. Potential delays may result from huge upload capacities. You will be informed by an automatically generated e-mail, if errors occured.

5. Image maintenance in the Editor

The metadata of all uploaded images can be edited in a web-based tool under:
http://edit.fotofinder.net
Deletions as well as customer rights and country rights can be adminstrated here.

These technical advices are consistently checked on correctness and necessity. Continous asking about updates is adviced. The upload of huge amounts of images into FOTOFINDER or conversion from other archive systems often can be simplified by certain methods and programs. Please ask us, we will be happy to help.
